Monthly reports are the same mailing with new numbers. You build the mailing once and send it again whenever your workbook changes.
Send it again to everyone #
- Update your workbook in Excel and save it.
- In SheetCourier, open Mailings and click Send again on the mailing card. SheetCourier reads your list fresh and opens the Check step.
- Look through the Check step: new people, people with no rows this month, and today’s limit. Until you choose otherwise, it also says how many people already got this mailing and are skipped, with the note to pick “Everyone on the list again” in the Send step.
- Go to the Send step. Under Who should get it this time?, pick Everyone on the list again (it shows the number of people).
- Update the subject if it names the month, send a test to yourself, then send.

Who should get it this time? #
As soon as a mailing has gone out once, the Send step asks who should get it now. It says when the mailing last went out and how many people on your list got it before, for example “118 of the 120 people on your list got it before.”
- Everyone on the list again: for example this month’s report. Everyone gets it, also the people who got it before.
- Only people who haven’t got it yet: for example people added since the last time, or the rest after today’s limit. People who already got it are skipped. SheetCourier recognizes them by their email address.
Only people who haven’t got it yet is picked unless you choose otherwise, and SheetCourier goes back to it after every send. So pick Everyone on the list again each month. That way a mailing that stopped at today’s limit, or that you send again by mistake, never reaches the same people twice.
If everyone on your list already got the mailing and you click Send to, SheetCourier says “Nobody to send to right now” and offers Send to everyone again. If the last sending was less than a day ago, or didn’t finish, the confirmation starts on Not yet so you don’t send twice by accident; Finish this mailing sends to the people who are still missing.
This works the same for an Excel file, a pasted list and your contacts.
Other buttons on the card #
- Edit: change the list, the message or how it is sent.
- Duplicate: makes a copy you can change, for example a version for another team.
- Delete: removes the mailing. Its History stays, and your Excel file or your contacts are not touched.
A mailing that has never been sent shows Send instead of Send again.
Tips #
- Keep the column names the same in your workbook. If a column is renamed, SheetCourier asks you to pick it again.
- Put the month in a cell of your list and use it as a field in the subject, so you don’t have to change the subject each month.
- If the workbook is open in Excel with unsaved changes, SheetCourier reads the last saved version and reminds you to save first.
